Stay on the free WhatsApp Business app while one or two people can handle your chats by hand. Switch to the WhatsApp Business API when you need to message hundreds of customers at once, give several staff members one shared inbox, or send reminders and alerts automatically. The app is free; the API charges per message and usually needs a software provider, but it removes the app's limits.

What the free app does well
The WhatsApp Business app is a good starting point. It gives you a business profile with your address, hours and catalogue, labels to organise chats, a greeting message for new customers, an away message outside working hours, and quick replies for common questions. For a small shop or a single-doctor clinic where one person answers every chat, it is often enough.
Five signs you have outgrown the app
1. Your broadcasts are not reaching people
A broadcast list holds at most 256 contacts, and a broadcast is delivered only to people who have saved your number in their phone. Many customers never save a business number, so a large part of every broadcast silently goes nowhere.
2. Several people need to answer chats
The app works on one phone and up to four linked devices. Once your front desk, sales team and support staff all need to reply, chats get missed, answered twice, or stuck on one person's phone.
3. Your staff send the same message by hand every day
If someone spends time each morning typing appointment reminders, fee reminders or delivery updates, that work can be automated. The app cannot send messages on a schedule; the API can send them automatically from your software.
4. You want WhatsApp connected to your other software
The API lets your clinic software, school ERP, billing system or online store send messages directly, such as a booking confirmation, a fee receipt or an order update, without anyone copying details into WhatsApp.
5. You need to know what happened to each message
With the API, you can see whether each message was sent, delivered and read, and measure how a campaign performed. The app cannot report at that level.
What the API costs
The API has two costs. Meta charges for each delivered template message, and the rate depends on its category: in India, ₹0.8631 for a marketing message and ₹0.115 for a utility message such as a reminder, plus 18% GST, as of October 2026. Your software provider also charges a platform fee for the inbox, automation and support. Replies to customers are free for the first 1,000 each month per phone number. What changes when you switch
- You message customers first with approved templates. To start a conversation, or to message someone more than 24 hours after their last message, you send a template that Meta has approved. Within 24 hours of a customer's message, you can reply freely.
- You need customers' consent. Only message people who gave you their number and agreed to hear from you. This protects your number's quality rating.
- Sending limits grow over time. New API numbers start with a daily limit on how many different customers they can message. The limit rises as you send good-quality messages and verify your business with Meta.
- Your number may be able to stay on the app too. Meta's "coexistence" option lets a number already on the WhatsApp Business app connect to the API without giving up the app, so staff can keep chatting on the phone while automated messages go out through the API. Some features, such as broadcast lists and group chats, work differently once connected, so check with your provider before you switch.
How to switch
- Choose a provider that uses Meta's official API. Avoid tools that automate WhatsApp Web or a modified app; they risk getting your number banned.
- Prepare your business details: a Meta business account, your business documents for verification, and the phone number you want to use.
- Get your display name approved, so customers see your business name.
- Create your first templates, such as a reminder or an order update, and submit them for approval.
- Import your contacts who have agreed to receive messages, and start with utility messages before running marketing campaigns.
How Wasavo helps
Wasavo runs on Meta's official WhatsApp Cloud API. We register your number, get your display name and templates approved, and give your team a shared inbox that looks and works like WhatsApp. Bulk campaigns, reminders and alerts run from the same platform, and our clinic, school and garage products send messages automatically. Meta's charges are passed through at cost with no markup. See the Wasavo WhatsApp Platform.
Frequently asked questions
Is the WhatsApp Business API free?
No. Meta charges for each delivered template message, and most businesses also pay a software provider. The WhatsApp Business app is free.
How many contacts can I send a broadcast to on the WhatsApp Business app?
Up to 256 contacts per broadcast list, and the message reaches only people who have saved your number. The API has no 256-contact list limit; it is limited instead by a daily sending limit that grows with good-quality messaging.
Can I use the same number on the WhatsApp Business app and the API?
Often, yes. Meta's coexistence option lets a number already on the WhatsApp Business app connect to the API while staying on the app. Some app features, such as broadcast lists and group chats, are not carried over, so check the details with your provider.
Can several staff members use one WhatsApp number?
On the app, one phone and up to four linked devices can use the number. With the API, a provider can give many staff members access to one shared inbox.
Will my number get banned on the API?
Not if you follow Meta's rules: message only people who agreed to hear from you, use approved templates to start conversations, and avoid spammy content. Unofficial tools that automate WhatsApp Web carry a much higher risk of bans.
