Wasavo Gym
Members don't quit.
They just stop coming.
A member who misses two weeks has already decided not to renew — you just find out sixty days later. Wasavo Gym watches attendance, puts the drop-offs on a list every morning, and gives your desk a reason to call while it still matters.
The problem
A register tells you nothing.
Most gyms know exactly two things about a member: when they joined, and whether they've paid. Nobody can answer the question that actually predicts renewal — when did they last walk in?
So the first time anyone notices a member has gone is when the renewal date passes. By then they've been to a different gym for a month, or stopped training altogether, and a phone call is no longer a nudge — it's a sales pitch to a stranger.
Attendance is the leading indicator. Payment is the lagging one. The whole product is built around having the first one.
Today's red list
Members who have stopped turning up, scanned every morning.

Red-list members are never messaged automatically. A person calls, and the outcome gets logged — because a template can't hear that someone's knee is hurting.
Check-in
A QR on the wall. That's the hardware.
Put any spare Android phone, tablet or TV at the entrance and open the gate screen. Members scan it on the way in. No turnstile, no biometric device, no card reader, nothing to wire up.
The QR changes every 30 seconds. A photo of it is worthless a minute later, so nobody marks attendance from the parking lot.
Scans from the member's own phone — in the app, or with the phone's plain camera app if they prefer.
Assisted check-in when a phone is dead or the QR won't scan. The desk marks it, and has to give a reason — so the fallback doesn't quietly become the default.
Streaks and a leaderboard come free once attendance is real data. Members check their own numbers, which is its own reason to show up.

What's inside
One app, both sides of the desk.
Owners, managers, front desk, trainers and members all use the same web app — each seeing only what their role allows.
Memberships
Plans, add-ons, freezes and upgrades. Existing members import with their current paid-till date, so switching over doesn't invent a payment that never happened.
Renewal reminders
A WhatsApp goes out 14, 7, 3 and 0 days before expiry, and once more 3 days after. Nobody at the gym has to keep a diary of who lapses when.
Payments
Counter mode by default — the member picks a plan, gets a reference number, pays cash or UPI at the desk, and staff tap Collect. Razorpay is there when you want online.
Workout plans
Build a plan once as a template — days, exercises, sets, reps, weight, rest — then assign it. The member sees today's day in their app and ticks each exercise off.
Diet plans
Meals and quantities, assigned the same way. Only staff with a qualification on record can create one, because dietary advice shouldn't come from whoever's free.
Owner's daily summary
Every night, a WhatsApp with the day's check-ins, collections, new joins and who went onto the red list. You read your gym without opening a laptop.
Roles
Who can do what.
A trainer shouldn't be able to issue a refund, and the front desk shouldn't be able to change plan prices. The app enforces that rather than trusting everyone to behave.
| Role | Can do |
|---|---|
| Owner | Everything, plus settings, plan prices and staff logins. |
| Manager | Everything except settings and staff logins. Can pause a membership, refund, and give extra discount. |
| Front desk | Add members, assisted check-in, sell plans and add-ons, collect payments, work the red list. |
| Trainer | View members, assisted check-in, assign workout plans, mark sessions for their PT clients. |
| Member | Check in, see their plan and streak, pick a renewal, view their workout and diet. |
No app store
It installs from a link.
Wasavo Gym is a web app that installs to the home screen — Share → Add to Home Screen on iPhone, Install app on Android. It opens full screen with its own icon, and looks and behaves like any other app on the phone.
Which matters more than it sounds. Asking a member to find your gym in the App Store, sign up and verify an email loses most of them at step one. Asking them to tap a link you sent on WhatsApp does not. And updates reach everyone the moment you deploy — there's no review queue and no one stuck on an old version.
How a member joins
-
1 · Desk adds them
Name, mobile, plan. Takes about twenty seconds.
-
2 · They get a WhatsApp
With the link and their login — gym code, mobile and a PIN. Sent from the app with one tap.
-
3 · Add to home screen
One prompt. No store, no account creation, no email verification.
-
4 · They scan on the way in
From then on attendance collects itself, and the red list has something to work with.
Money
Rules the software won't let you break.
Gym billing goes wrong in boringly predictable ways — a membership extended twice off one payment, a refund that deletes the original record, a double-tap at the counter on a slow connection. These are closed off in code, not in training.
Membership extends only on a verified payment
Not on an intent, not on a pending gateway callback.
A payment can never apply twice
Double clicks and repeated webhooks are both safe — the second one is a no-op, not a free month.
Refunds are a status, not a deletion
Nothing is removed from the ledger, so the month's collection still reconciles afterwards.
Card and UPI details are never stored
Online payments go through Razorpay. Raw instrument details never reach our database.
Every membership change is written to an audit log with who did it and when — useful the day a member insists they paid in cash to someone who no longer works there.
Pilot
Day one is a phone on the wall.
Day 1
Gate up
A spare phone or tablet at the entrance, on charge, showing the gate screen full screen.
Day 1
Members in
Existing members added with their real paid-till dates, then sent their login on WhatsApp.
Week 1
Desk trained
Mostly one thing: if the QR won't scan, use assisted check-in and give the reason.
Week 2
Red list worked
Call the list every morning and log an outcome for every call. This is the habit that pays for the product.
Find out who stopped coming.
We'll set up a demo gym with your plan names and prices, so you can see your own business in it before deciding anything.
